Mind Window Privacy Policy

The following Privacy Policy explains how information about you is collected, used and disclosed by the Arizona Board of Regents on behalf of the University of Arizona (“University,” “we,” or “us”) when you access or use the ‘Mind Window’ mobile application (“Mind Window”), or when you otherwise interact with us. By using Mind Window, you (“you”) agree that your personal information and data (collectively, “Personal Information”) will be dealt with in accordance with this privacy policy.

We may change this Privacy Policy from time to time. If we make changes, we will notify you by revising the date at the top of the policy and, in some cases, we may provide you with additional notice such as sending you a notification through Mind Window. We encourage you to review the Privacy Policy whenever you access Mind Window or otherwise interact with us to stay informed about our information practices and the ways you can help protect your privacy.

Collection of Information

We collect Personal Information when you register for an account or when you use Mind Window. This can include information about the content you provide or the frequency and duration of your activities. When you register with us, Mind Window will directly ask you for and/or collect Personal Information (for example: gender, country of residence, relationship status, etc.). We may collect information about the mobile device you use to access Mind Window, including the hardware model, operating system and version, device identifiers, and mobile network information.

Mind Window may send some tracking information from your device to third-party analytics platforms (e.g., Google, Meta). These data are used solely so that we can identify key events in Mind Window (e.g., app first launched, app crashed). They will not contain personally identifying information nor will they contain data about your actions while interacting with Mind Window (e.g., clicking on a particular screen or entering a particular response). By using Mind Window, you agree to allow the transfer of information regarding these key events.

If allowed by you, Mind Window will send anonymized geolocation data to our servers and made available only to our research team. These data will be used to calculate distances your device has moved between times that you interact with Mind Window. Before being sent to our servers, Mind Window will offset your device’s latitude and longitude by a random number stored on your device. Only these, altered, location data will be sent to and stored in the Mind Window project database. As such, our research team will never have data that reflect your actual location.

If you contact us in relation to Mind Window (via email, telephone, post or otherwise), we may collect and retain your contact details and your communication for the purpose of handling your query and keeping records of communications.

Any information that is provided to us by you may be combined with the data you provide to us upon registration and/or when you use Mind Window, and the combined data may be used by us for the same purposes outlined in this notice.

The University and the servers used to store your data are based in the United States (through the Google Firebase platform). By accessing or using Mind Window or otherwise providing information to us, you consent to the processing and transfer of information in and to the U.S. Should you use Mind Window in other countries, you may not have the same rights as you do under U.S. law. Where this is the case, we will take appropriate measures to protect information about you in accordance with this Privacy Policy. Use of Personal Information

Personal Information and other details about you that you supply as part of the registration process or that are collected by us when you use Mind Window are used to provide you with the services as set out in the Consent to Research Form.

In addition to the uses outlined in the Consent to Research Form, we may use your Personal Information for the following general purposes:

  • Provide, maintain and improve our Services;
  • Provide and deliver the services you request and send you related information, including receipts or confirmations;
  • Send you technical notices, updates, security alerts and support and administrative messages;
  • Monitor and analyze trends, usage and activities in connection with our Services;
  • Detect, investigate and prevent fraudulent transactions and other illegal activities and protect the rights and property of the University.

Sharing Personal Information

We do not rent, sell, or share Personal Information about you with other people or non-affiliated companies except to provide products or services you’ve requested, when we have your permission, or under the following circumstances:

  • For third party vendors, consultants and other service providers to carry out work on our behalf;
  • In response to a request for information if we believe disclosure is in accordance with, or required by, any applicable law, regulation or legal process;
  • To protect the rights, property and safety of the University or others; and
  • Under your consent or at your direction.

Information Stored on your Device

Mind Window may store some data on your mobile device. For example, in order to provide automatic log-ins, your username and password will be persistently stored locally on your device in accordance with the standard technology provided by your device’s operating system. If you wish to prevent the persistent storage of information on your device, some of these capabilities can be turned off in Mind Window.

Mobile Notifications/Alerts

With your consent, we may send local notifications to your mobile device. These notifications are local to your device but we reserve the right to change these notifications to utilize server-based push services at any point in the future. You can elect to stop receiving these messages at any time by changing the notification settings for Mind Window on your mobile device.

Confidentiality & Security

Your Personal Information is stored in electronic and/or physical records maintained by us and/or our service providers (i.e., the Google Firebase platform). This information is protected by the use of secure electronic log-ins and, in the case of physical records, locked storage facilities. For all records, access to Personal Information is restricted to only those individuals involved in the management or analysis of such data.

We cannot guarantee the security of data you submit via Mind Window in transit over the internet and any such submission is at entirely your own risk. However, communication between Mind Window and our servers utilizes industry-standard https protocol for secure, encrypted data transmission. Additionally, your data is encrypted on the servers of our service providers. In order to provide the highest level of protection of your Personal Information, please ensure that you never leave your device unlocked and unattended or use Mind Window in a public place where others can potentially see your details.

The security of all personally identifiable information associated with you is taken very seriously and all Personal Information supplied is treated confidentially. We therefore have several security measures in place to try to protect against the loss, unauthorized use and corruption of any Personal Information that is under our control. We review our security and privacy policies (posted on our website at https://mindwindowapp.com/support/policies/) periodically and improve them where it is reasonably possible to do so. We do not guarantee that loss, unauthorized use, corruption and/or alteration of information will never occur, but we use all reasonable efforts to prevent it.
